This Privacy Policy explains how we collect, use, disclose, store, secure, and dispose of information about you when you interact with our Website, become a member, use our facilities, or communicate with us.

Name, email address, phone number, company name
Payment information (processed by our payment processor — see Section 6; not stored on our own systems)
License plate number, for members using our parking facilities
Member Management: Member and company profile data (name, email, phone, address, company info), billing and invoice details, payment method metadata, membership/contract details, booking and check-in history, and any custom profile fields you've configured (e.g., social links, bio) — including, if members opt in, information displayed on public member/company profile pages such as email, phone, bio, and social media links
CRM: Contact and company details (name, email, phone, job title), deal/pipeline history, email and communication logs, form submissions, marketing engagement data (email opens/clicks, website activity tracked via HubSpot tracking code), and notes or call logs entered by our team
Community Platform: Member profile information, posts/comments and community activity, direct messages within the platform, and engagement data (courses completed, event RSVPs, etc.)
Technical Data: Website and firewall usage such as IP address, device and browser type, pages viewed, referral source, session duration, and approximate location derived from IP — collected via cookies and similar tracking technologies
Phone: Call metadata (caller/recipient number, date, time, duration), call and SMS content including recordings and voicemails, and call notes, tags, or insight cards created by our staff via our phone system, Aircall.
Sales: Prospect and lead contact information (name, email, phone, company), conversation transcripts and recordings across voice, SMS, and web chat channels, inquiry and booking details (tour requests, campus/space interest, timing), lead source and funnel/deal stage data synced with HubSpot
Security: Access credentials (mobile key or keycard ID), entry/exit timestamps and presence/attendance data (first unlock, last unlock, time onsite), and door/location accessed, as well as security camera footage

On our premises
The Loading Dock maintains security cameras and door access at its locations for the safety of staff, members, and guests. Camera footage is handled as described in Section 8 and in the Membership Agreement. We do not photograph or film inside private offices or reserved conference rooms without permission. Photos and video may also be taken during member events and in common areas, consistent with the Video and Photo Release in the Membership Agreement.
When you connect to our network onsite, our firewall and network security systems automatically collect technical data to protect our infrastructure and members. This includes information about your connection activity, bandwidth and application usage, websites or domains accessed, and any security threats or intrusion attempts detected during your session. This data is used solely for network security, performance monitoring, and troubleshooting.

Access control platform — manages keycard/mobile-key entry credentials and door access logs for members using our facilities
E-signature platform — facilitates electronic signing of membership agreements, license agreements, and other contracts
We do not sell or share mobile phone numbers or SMS opt-in consent data with third parties, affiliates, or partners for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.
7. Data Retention and Disposal
How long we hold data depends on its purpose and any applicable legal requirements, or in response to the application’s internal data retention policy. In practice: we retain personal data indefinitely across our systems. If you would like us to delete personal information we hold about you, contact us using the information in Section 15 and we will honor reasonable requests to the extent deletion is available.
When data is deleted, whether at the end of its retention or upon request, we aim to delete it from our active systems and any backups within a reasonable time, and to securely dispose of any related hard-copy records.

We use commercially reasonable administrative, physical, and technical measures designed to protect personal information from unauthorized access, alteration, disclosure, or destruction. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

Our Services are not directed to individuals under the age of 18, and we do not knowingly collect personal information from children under 18. If we learn we have collected such information, we will delete it promptly.
